Data Deletion Instructions

Important: Deletion is permanent and irreversible. All your transaction history, contacts, payment information, and account data will be permanently removed. We recommend exporting or backing up your data before requesting deletion.

1. Before You Delete Your Account

Please consider the following before requesting deletion:

  • Data is Permanent: Once deleted, all your transaction records, contact data, and ledger information cannot be recovered. DebtTrack will not be able to restore deleted data.
  • Backup Your Data: We recommend exporting your transaction history and ledger data before deletion from your account settings (if available).
  • Linked Accounts: If you have linked accounts with other users, they will no longer see shared financial data after your deletion, but they keep their own records of transactions with you.
  • Active Debts: If you have unsettled debts or creditors (people who owe you money), we require their consent before you can delete your account to ensure financial records are not lost.
  • Financial Records: Keep records of any outstanding debits/credits with contacts before deletion, as you will lose access to your ledger.

2. How to Request Data Deletion

There are two ways to request account deletion:

Option A: In-App Deletion (If Available)

  1. Log in to your DebtTrack account
  2. Go to Settings → Account → Data & Privacy
  3. Click "Delete My Account"
  4. Review the warning message and confirm you understand deletion is permanent
  5. Enter your password to confirm the request
  6. Click "Permanently Delete Account"
  7. A confirmation email will be sent to your registered email address

Option B: Email Request

  1. Send an email to debttrackpro@gmail.com
  2. Include the subject line: "Account Deletion Request"
  3. Include your registered email address and account details in the message
  4. Optionally explain why you're deleting your account (helps us improve)
  5. We will respond within 24 hours to confirm your identity and request details
  6. You may need to provide additional verification (confirm a password reset email, answer security questions)

3. What Gets Deleted

When your account is deleted, the following data is permanently removed:

  • Account Profile: Name, email address, display name, preferred currency settings
  • All Transaction Records: Every transaction you ever recorded (amounts, dates, notes, currencies)
  • Contact Data: All contacts you created and their associated ledger entries
  • Payment Information: Any payment details (bank accounts, mobile money, reference codes) you added to your profile
  • Linked Account Data: Your connection to other users' accounts (though their records remain)
  • Analytics Data: Any analytics or usage data tied to your account
  • Support Tickets: Correspondence from support inquiries (for privacy, customer service records may be kept for 6 months)
  • Backup Copies: Deleted within 30 days from backup systems

4. What Doesn't Get Deleted

  • Linked User Records: If other users have linked their accounts to you and recorded transactions with you, they keep their copy of those records. We cannot delete records from other users' accounts.
  • Legal Requirements: Data required by law (fraud investigation, tax records, legal disputes) may be retained for 7 years or as required by jurisdiction
  • Payment Records: If you made any payments through third-party services (not through DebtTrack), those records remain with the payment processor

5. Checking for Active Debts/Creditors

Before deletion, you must verify you don't have outstanding financial obligations:

  • Review your Dashboard to see all contacts and outstanding balances
  • Identify anyone who owes you money or to whom you owe money
  • If balances are unsettled, you'll need to either:
    • Settle the debt before deletion
    • Get written confirmation from creditors/debtors that they consent to your deletion

6. Turnaround Time

Account deletion follow this timeline:

  • Immediate: Your account is disabled and you cannot log in
  • Within 24 Hours: All personal data is permanently deleted from active systems
  • Within 30 Days: Backup copies are purged from disaster recovery systems
  • Confirmation: You'll receive an email confirming deletion of your account

7. Canceling a Deletion Request

If you request deletion in-app or by email:

  • You have 24 hours to cancel the request
  • Reply to the confirmation email with "CANCEL DELETION" to stop the process
  • Or log back in within 24 hours to reactivate your account
  • After 24 hours, deletion cannot be stopped or reversed

8. Exporting Your Data Before Deletion

Before deleting, export your important data:

  • Transaction Export: Go to Dashboard → Export → Select date range and contacts → Download as CSV/JSON
  • Contact List: Export all contacts with their outstanding balances
  • Payment Information: Take screenshots or notes of payment details you've shared
  • Notes & Records: Screenshot any important notes or details about debts

9. Your Right to Be Forgotten (GDPR)

Under GDPR and similar privacy laws, you have the "right to be forgotten." DebtTrack respects this right:

  • Deletion requests are processed without unreasonable delay or cost
  • We will not retain data longer than necessary
  • Data not subject to legal retention will be permanently deleted
  • We will inform linked services to delete their copies (where applicable)

10. Verifying Your Deletion

To verify your account has been deleted:

  • Try logging in with your email → should show "Account not found"
  • Check your registered email for deletion confirmation
  • Data should no longer appear in any app backups after 30 days
